2020 ANNUAL GENERAL MEETING MINUTES – DRAFT

ANNUAL GENERAL MEETING

19 July 2020 (2.45pm)

Weston Creek Community Centre, Squash Court 4

Present:  Scott Caban, Frank Cassidy, Ron Smith, Rhonda Fry, Richard Fry, Chad Addison, Ron Bates, Michael Barrett, Amy Stevens, Martin Shannon, Karina Sommers, Jim Foley, Chris Butler, Alan Martin, Edwina Mulhearn, Lou Rizzello.

Apologies: Julie Medway, Sue Parker, Heather Campbell, Danny Castro.

  1. WELCOME

Scott Caban opened the meeting, thanking those in attendance.

  1. MINUTES OF THE PREVIOUS MEETING

Minutes of the AGM held on 8 April 2019 were previously circulated to members prior to the meeting.

It was resolved that the Minutes be accepted as a true and accurate record of the AGM held on 8 April 2019. (Moved Scott Caban, seconded Ron Smith).

  1. BUSINESS ARISING

Nil

  1. PRESIDENT’S REPORT

The President’s report was circulated to members early in the year and he indicated that basically due to the COVID 19 lock down there was no further information to report. The key points included:

  • In the 2019 Competitions there were a significant decrease in overall player numbers.
  • In August 2019 following the annual Bega challenge, the Rashes trophy finally returned to the ACT.
  • September 2019 saw 45 Masters players head to the Gold Coast for the Australian Masters Squash Association Championships.
  • The March 2020 tournament was once again extremely successful. The Keith Jones Memorial Award was presented to Alan Martin.
  • Scott thanked all the current sponsors for their ongoing support, and the current committee and other volunteers for the enormous amount of work they do to make ACT Masters such a successful association. Scott also thanked the outgoing Committee members, Heather Campbell, Richard Fry and Denis Mettam
  • A full copy of the President’s Report is at Appendix A.
  1. TREASURER’S REPORT

The Treasurer provided a summary of his Report, noting the financial statements of the Association have been audited by Luana King at no charge to the Association.

It was resolved (proposed Ron Smith and seconded Jim Foley) that the Treasurer’s Report for the year ending 31 December 2019 be accepted.

A copy of the Treasurer’s Report is at Appendix B.

A copy of the Financial Statements is attached to the Treasurer’s Report.

  1. ELECTION OF OFFICE BEARERS

The President vacated the chair and called upon Frank Cassidy to be the Returning Officer.

The Returning Officer declared all positions vacant.  He called for nominations for the Executive and Committee positions as follows:

President: there was one nomination for President – Scott Caban. Nominated by Ron Smith, seconded Chris Butler. Elected unopposed.

Vice President: there was one nomination for Vice President.  Alan Martin nominated by Scott Caban, seconded by Chris Butler. Elected unopposed.

Treasurer: there was one nomination for Treasurer.  Ron Smith nominated by Scott Caban, seconded by Chris Butler. Elected unopposed.

Secretary: there was one nomination for Secretary.  Julie Medway nominated by Scott Caban, seconded by Chris Butler. Elected unopposed.

Committee Members: the following committee members were all declared elected:

  • Michael Barrett, nominated by Sue Parker and seconded by Julie Medway
  • Sue Parker, nominated by Michael Barrett and seconded by Julie Medway
  • Dennis Smith, nominated by Julie Medway and seconded by Ron Smith
  • Karina Sommers, nominated by Jim Foleyl and seconded by Bruce Morgan
  • Chris Butler, nominated by Sue Parker and seconded by Scott Caban
  • Martin Shannon nominated by Sue Parker and seconded by Michael Barrett.

Mr Cassidy advised that additional Committee Members can be elected prior to the next AGM.

Scott took the Chair as President and thanked Frank Cassidy for acting as the Returning Officer.

  1. APPOINTMENT OF AN AUDITOR

The Treasurer proposed that Luana King be appointed for the year ending 31 December 2020, seconded by Scott Caban.  Motion carried.

  1. GENERAL BUSINESS

As there was no general business the AGM was closed at 3:05 pm.
